TERMS & CONDITIONS
PLEASE READ CAREFULLY
By booking any event photography service with SpicyInc Studio, you acknowledge and agree to the following terms and conditions.
1. BOOKING & PAYMENT TERMS
A 50% non-refundable retainer is required to reserve your event date.
- The remaining 50% balance is due no later than one month before the event.
- No date is secured without a retainer. SpicyInc Studio does not hold tentative dates.
- Cancellations made within 90 days of the event date are non-refundable.
2. SCHEDULING
We strongly recommend booking 6 to 12 months in advance, especially for weddings, milestone celebrations, and large-scale events. This ensures date availability, adequate planning time, and smooth coordination.
Note: All pricing is subject to change at any time without prior notice. Your rate is only guaranteed once the retainer is received.
3. EVENT COVERAGE & TIME ALLOTMENT
Your event coverage begins and ends at the times stated in your contract or package.
- If your event starts late or runs over the scheduled time, overtime charges will apply at the current hourly rate.
- Time extensions are subject to availability, as we often have multiple bookings in a day.
- Please be sure to book adequate hours for your event during your planning stage.
- A final event timeline or itinerary must be submitted at least 7 days before the event.
4. TRAVEL & DESTINATION EVENTS
- A travel fee applies to all events located more than 10 miles from our studio location.
- For out-of-state or international events, travel-related costs such as transportation, lodging, and logistics will be added to your quote.
- All travel fees must be paid in full at least one month before the event to allow us time to plan and book accommodations.
5. CLIENT RESPONSIBILITIES
- The client is responsible for providing access to all venues, permits, and entry passes where needed.
- A day-of contact person (e.g., planner, coordinator, or trusted guest) should be available to assist the photography team during the event.
- SpicyInc Studio is not responsible for missed moments due to timeline delays, venue restrictions, or miscommunication.
6. IMAGE DELIVERY TIMELINE
- Final edited event photos will be delivered within 2 weeks of the event date via a private, downloadable online gallery.
- For bookings that include printed albums or physical deliverables, production and shipping may take an additional 1 to 2 months after final selections are received.
- Weddings: Custom album delivery may take 3 to 6 months depending on the design and production schedule.
Please note: We do not provide preview galleries for event photography.
7. IMAGE SELECTIONS & ADDITIONAL EDITING
- Your package includes a set number of edited images or full event coverage as outlined in your contract.
- If you request additional retouched images beyond what your package includes:
- Individual edits: $30 per image
- Group or advanced composites: Up to $100 per image
- You have 14 days after gallery delivery to submit selections for prints, albums, or additional edits.
8. RETOUCHING & REVISIONS
All final images are professionally edited for lighting, color correction, and consistency.
Basic retouching (e.g., skin smoothing, light background cleanup) is included.
You receive two complimentary revision rounds. Further revisions are billed at $20 per round.
Requests for advanced edits (object removal, heavy alterations, etc.) may incur additional costs and production time.
9. RESHOOT POLICY
Due to the nature of events, reshoots are not possible.
If images are lost or unusable due to technical failure (e.g., card corruption or camera malfunction), SpicyInc Studio will make every effort to compensate you, either with a refund or a complimentary future session.
However, dissatisfaction due to subjective factors like lighting conditions, personal appearance, or decor choices does not warrant a refund or reshoot.
10. RUSH DELIVERY OPTION
If you require expedited image delivery, a Rush Service is available:
- 3-day turnaround: $300
- 5-day turnaround: $200
Subject to availability. Must be confirmed and paid in advance.
11. WHAT WE DO NOT GUARANTEE
While we strive to capture all significant moments, please understand:
- We cannot guarantee photographs of every guest or moment in a large event.
- We are not liable for missed shots due to lack of direction or unforeseen event interruptions.
- We do not guarantee specific poses unless pre-discussed.
12. CANCELLATION & RESCHEDULING POLICY
- Cancellations made within 90 days of the event are non-refundable.
- If you need to reschedule, you may transfer your retainer to a new date with at least 30 days' notice, subject to our availability.
- If SpicyInc Studio must cancel due to emergency or unforeseen circumstances, we will either:
- Issue a full refund
- Reschedule
- Or assign a qualified associate photographer with your approval
13. COPYRIGHT & IMAGE USAGE
SpicyInc Studio retains full copyright of all images captured.
Clients are granted personal use rights to share, print, or display their images for non-commercial purposes.
Images may not be used for commercial advertising, resale, or publication without written consent.
We reserve the right to use select images for portfolio, website, and promotional purposes unless otherwise agreed in writing.
14. FINAL NOTES
We are honored to be part of your special day and will work diligently to capture it with creativity and care. If there are specific moments or people you want us to prioritize, please communicate that clearly during the planning stage.
